The AI Stack That Saves Our Team 10+ Hours a Week - No Buzzwords, Just What Works

Let’s be real — there’s a lot of noise in the AI space right now.
New tools. Big promises. Overwhelm.
But here’s the truth: when you use the right tools on purpose — not just because they’re trending — AI stops being a distraction and starts becoming a time-saving, business-scaling secret weapon.
In our business, AI saves us 10+ hours a week (at least). It’s the not-so-secret sauce behind how we move fast, keep our standards high, and still have time left for a coffee break.
Below, I’m walking you through exactly what we use, how we use it, and why it works — so you can borrow what makes sense and skip the trial-and-error phase.
1. Loom + ChatGPT = SOPs in Minutes
When I need to train someone on a task, I don’t write a doc. I hit record on Loom while I’m doing it, then drop the transcript into ChatGPT.
The prompt I use turns my one-off walkthrough into a repeatable, skimmable SOP that anyone on the team can use.
ChatGPT Prompt:
Here’s the transcript from a Loom video where I walk through a task. Please turn it into a clear, repeatable SOP my team can follow.
Include:
– Task Name & Purpose
– Frequency
– Owner
– Tools Needed (with links if mentioned)
– Step-by-step Instructions (bulleted or numbered)
– Tips, Common Mistakes, or Best Practices
– Any resources, templates, or files referenced
Make it easy to skim, formatted & ready to hand off.
Why it works:
It’s the closest thing to cloning myself. I do it once, and then never again.
2. ChatGPT for Content That Actually Sounds Like Us
We use ChatGPT weekly to:
Turn transcripts into blog posts, newsletters, and emails
Write social captions (and batch them fast)
Brainstorm lead magnets, campaigns, and content plans
Develop our brand voice (and our clients’)
Research hooks, pain points, and positioning strategies
We’ve also built custom GPTs for repeat tasks so we don’t reinvent the wheel every week.
Why it works:
ChatGPT doesn’t replace your voice — it helps you express it faster and more clearly. If you feed it strong inputs, it becomes a true teammate.
3. Opus Clip: Turn Long Videos Into Viral Clips
We use Opus Clip to slice long-form videos into short, shareable content for Reels, TikToks, and YouTube Shorts.
It automatically:
Finds “hooky” moments
Adds captions
Formats for vertical video
Creates 10+ clips from a single video
Why it works:
It’s not perfect, but it gets you 80% of the way there in minutes — which is usually more than enough to publish fast.
4. Meta & Google Ads AI Tools: Let the Algorithms Work
We lean into AI features on both Meta Ads and Google Ads to improve performance without burning hours in the backend.
Meta’s AI helps with:
Campaign learning + budget allocation
Dynamic creatives and A/B testing
Predictive performance insights
Google’s AI helps with:
Headline + description suggestions
Smart bidding
Real-time optimization
Why it works:
You still need strategy, but the AI helps you test, adapt, and scale much faster — especially when paired with good creative.

6. Sintra: AI-Powered Ops Support for Your Team
We’re testing Sintra as a behind-the-scenes support tool for our ops and admin flow.
It’s like an extra pair of (very fast) hands that can:
Draft docs
Route tasks
Solve small problems
Keep internal processes clean
Why it works:
It helps us stay organized and responsive — especially when team needs pile up fast.
7. Heidi: Your Clinical Sidekick (with Brains)
We use Heidi as an AI assistant to streamline clinical notes and admin documentation.
Designed for healthcare teams, it:
Auto-generates SOAP notes
Suggests follow-ups and care plans
Helps reduce screen time and documentation fatigue
Why it works:
It gives our clinical team more time to care for people — instead of drowning in notes.
8. Smart Marketer’s AI Hub: Swipe-Worthy Prompts
Smart Marketer’s AI Hub is our go-to when we need a clean, revenue-focused prompt to plug into ChatGPT.
It includes:
Email, ad, and content prompts
Campaign builders
Avatar + offer development workflows
Why it works:
You don’t have to guess what to type into ChatGPT. These prompts are sharp and focused — not fluffy or generic.
9. ChatGPT as My Daily Ops Wingwoman
I use ChatGPT for operations every single day.
Reviewing and tightening process flows
Spotting where things might break
Drafting checklists, onboarding plans, and training docs
Finding “the most efficient way to do this thing” — whatever the thing is
Why it works:
It’s like a second brain that doesn’t get tired. If you know how to ask good questions, it’ll help you make faster, better decisions.
Final Thoughts: AI Is a Multiplier — Not a Magic Wand
These tools don’t replace strategy or strong team culture. But they do save time. They reduce friction. And they help us execute with more clarity, speed, and ease.
If you’re overwhelmed by AI but know you need to start using it more intentionally…
👉 Grab our free Brand OS GPT — it’ll help you define your brand voice once so you can plug it into any AI platform (ChatGPT, content writer, marketing assistant — you name it).
You don’t need to sound like a robot. You just need a system that sounds like you.
Let’s stop doing everything the hard way.
